This Privacy Policy explains how Fytlink (“Fytlink”, “we”, “us”, or “our”) collects, uses, and protects information when you use our gym management platform, including our mobile app, web dashboard, and marketing site at fytlinkapp.com (together, the “Service”).
By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.
1. Who this policy covers
Fytlink is used by two main groups:
- Gym owners and staff who run their gym on Fytlink.
- Gym members whose information is added to Fytlink by their gym so they can track memberships, payments, and workouts.
When a gym uses Fytlink to manage its members, the gym is the controller of that member data and Fytlink acts as a processor on the gym’s behalf.
2. Information we collect
Account information
When you create a Fytlink account, we collect your name, email address, phone number, gym name, and a password (stored hashed).
Member and gym data
Gyms can add information about their members, such as name, contact details, photo, membership plan, joining date, expiry date, payment history, attendance, assigned workouts, and notes.
Payment information
Payments to Fytlink for subscriptions are handled by third-party payment providers. We do not store full card numbers on our servers. Payments your gym collects from its members are recorded as ledger entries (amount, date, method) — Fytlink does not process those member-to-gym payments.
Usage and device data
We collect basic technical information such as IP address, device type, operating system, app version, crash logs, and pages visited. We use this to keep the Service stable and to improve it. Our marketing site uses Umami for privacy-friendly, cookie-less analytics.
Communications
If you contact us by email or through the in-app contact form, we keep that conversation so we can follow up and improve support.
3. How we use information
- To provide and operate the Service.
- To send transactional messages such as due reminders, receipts, and account notifications.
- To respond to support requests.
- To detect, prevent, and fix abuse, fraud, or bugs.
- To improve features, performance, and user experience based on aggregate usage.
- To meet legal and regulatory obligations.
We do not sell your personal information, and we do not use gym or member data to train AI models.
4. How we share information
We share information only in these limited cases:
- With your gym. Member data is visible to the staff of the gym that added it.
- Service providers. Hosting, database, email delivery, SMS, push notifications, error monitoring, and payment processing partners that help us run the Service.
- Legal requests. When required by law or to protect rights, safety, and property.
- Business transfers. In a merger, acquisition, or sale of assets, with notice to affected users.
5. Data retention
We keep data for as long as your gym’s account is active. When a gym closes its account, we delete or anonymize personal data within 90 days, except where we are required to keep it for legal, tax, or accounting reasons. Backups may persist for a short additional period before being overwritten.
6. Security
We use industry-standard measures to protect your data, including encrypted connections (HTTPS), encrypted storage of passwords, role-based access controls, and audit logging. No system is perfectly secure — if we discover a breach affecting your data, we will notify you without undue delay.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing.
- Gym staff can manage their own profile inside the app and email us to delete their account.
- Gym members should contact their gym first, since the gym controls their record. We will assist the gym in fulfilling valid requests.
8. Children
Fytlink is not intended for children under 13. Gyms should not add members under that age without verified parental consent. If you believe a child’s information has been added without consent, contact us and we will remove it.
9. International transfers
Fytlink is hosted on cloud infrastructure that may store and process data in regions outside your country. We rely on appropriate safeguards from those providers to keep your data protected wherever it is processed.
10. Cookies and similar technologies
Our web dashboard uses cookies and local storage that are strictly necessary to keep you signed in and to remember preferences. Our marketing site uses Umami analytics, which does not set tracking cookies or fingerprint visitors.
11. Changes to this policy
We may update this policy as the Service evolves. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in-app or by email.
